Overview

This Privacy Policy explains how BookSys collects, uses, stores, and shares personal information when you use our website, dashboards, public listings, and related services.

BookSys is a live operations platform used to manage venues, brands, agencies, events, artists, teams, scheduling, messaging, and public-facing profiles. This policy should be read alongside any contract, terms, or workspace-specific settings that apply to your use of the service.

Information we collect

We may collect account and profile information such as your name, email address, avatar or profile image, login details supplied through our authentication provider, and workspace role or membership details.

We may collect operational content that you or your organization add to BookSys, including venue, brand, artist, and event profiles; team rosters; shift and staffing information; schedules; contact details; notes; messages; notifications; and media uploaded to the platform.

If you enable public listings, we may publish information you choose to make public, such as profile descriptions, locations, images, contact channels, public calendars, event listings, and message settings.

We may also collect technical and usage information such as IP address, browser type, device data, approximate location derived from IP, pages visited, feature interactions, cookie preferences, and basic product analytics used to operate and improve the service.

How we use information

We use personal information to provide and secure BookSys, create and manage accounts, authenticate users, operate dashboards and public pages, support collaboration within workspaces, deliver notifications, process support requests, and maintain the safety and reliability of the service.

We also use information to administer subscriptions and payments, improve features, troubleshoot issues, enforce our terms, comply with legal obligations, and communicate service updates or important account notices.

Public profiles and directory data

BookSys includes optional public-facing directories and profile pages for venues, events, artists, brands, and related entities. Information that a workspace chooses to mark as public may be visible to anyone, indexed by search engines, and shared by third parties.

Workspace administrators are responsible for deciding what information is published through public profile settings. If you appear on a public profile or listing because of your relationship with a workspace, updates or removal may require action by that workspace as well as BookSys.

Messages, notifications, and communications

If you use in-app messaging or notification features, we may process message content, recipient details, delivery records, notification preferences, and related metadata needed to provide those features.

If you opt in to browser push notifications, we may store your push subscription details and device metadata so notifications can be sent to your browser. You can usually disable push notifications in your browser or device settings.

Payments and third-party services

We use service providers to help operate BookSys, including hosting, database, authentication, storage, and payment providers. For example, subscription checkout and billing functions may be handled through Stripe. We may share limited information with those providers where needed to deliver the service.

We do not intend to store full payment card numbers on our own systems when payments are processed by a third-party payment processor, but we may retain billing-related records such as customer identifiers, subscription status, plan selections, and transaction references.

Cookies and similar technologies

We use cookies and similar technologies to keep BookSys secure, remember preferences, maintain sessions, and improve user experience. Depending on how the application evolves, cookies may also support analytics, performance monitoring, and consent choices.

How we share information

We may share information with your organization or workspace administrators, service providers acting on our behalf, professional advisers, law enforcement or regulators where required, and counterparties involved in a business reorganization, merger, sale, or financing transaction.

We may also share information when you ask us to, when it is necessary to provide a feature you use, or when we believe disclosure is reasonably necessary to protect BookSys, our users, or the public.

Data retention

We retain information for as long as reasonably necessary to provide the service, maintain business and legal records, resolve disputes, enforce agreements, and meet legitimate operational needs. Retention periods may vary depending on the type of data, workspace settings, contractual obligations, and legal requirements.

Public content, backups, system logs, and billing records may persist for a period after account closure or deletion requests, subject to technical, legal, and operational constraints.

Security

We use administrative, technical, and organizational measures designed to protect personal information. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

International use

BookSys may be accessed from multiple countries, and your information may be processed in jurisdictions other than the one where you live. Where required, we will take steps intended to provide appropriate safeguards for cross-border transfers.

Your choices and rights

Depending on where you are located, you may have rights to request access to personal information, correction of inaccurate information, deletion, restriction, objection to certain processing, portability, or withdrawal of consent where processing is based on consent.

You may also be able to update some of your information directly within BookSys. If your data is controlled by a venue, brand, agency, artist, or other workspace you belong to, we may direct your request to that organization where appropriate.

Children

BookSys is intended for business and professional use and is not directed to children. We do not knowingly collect personal information from children where prohibited by law.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in BookSys, legal requirements, or our practices. When we do, we will update the "Last updated" date on this page. Material changes may also be communicated through the service or by email where appropriate.
